KEY PURPOSE OF THE JOB (POSITION SUMMARY)

To manage the reception and allotted administrative activities and maintain an efficient reception service.

A. Attending Board:-

  1. To receive, direct and relay telephone messages
  2. To dial numbers for Staff Members – international and national calls
  3. To inform employees about calls received via email if they are not present at their desks.
  4. To lodge office phone complaints, informing about the problem with board lines.

B .Reception

  1. To cordially greet and handle walk-in clients/customers/candidates etc.
  2. To ensure upkeep of reception area

C .General Administration:-

  1. Responsible for facilitating/coordinating meeting in conference rooms/auditoriums.
  2. To ensure timely service of Tea/Coffee to the meeting rooms
  3. To assist in other general administration tasks from time to time

D .Reports:-

  1. To update extension list & memory mobile numbers for all employees
  2. To mail monthly scanned housekeeping attendance and material report to their office
  3. To maintain roaster for corporate and regional office
  4. To mail monthly temp staff attendance to Klenzall
  5. To maintain Incoming/Outgoing register of staff members
